Document Permissions Functionality

Introducing Enhanced Document Management Features

We have exciting updates to our document permissions functionality that will enhance your collaboration with clients. It's crucial to be aware of the following key points:

Client Ownership: Please note that any documents uploaded by either you as a Pro, or your client, will ultimately belong to the client and remain in their Worklayer account. In addition, Taxfyle clients now have more control over document management. They can choose to remove a document from a job or restrict your ability to edit it, regardless of who initially uploaded the document. In order to identify whether the document has limited access, please select the document and check for the "Read Only" symbol displayed next to it. Keep these considerations in mind when working with documents:

Versions Tab: To create new versions of a document, simply head to the Files Tab of the document and select "Upload New Version". This feature allows you to create new versions of the selected document. However, if you don't see this button, it's likely because the client has limited your editing permissions (i.e., Read Only). In such cases, you'll need to request the client to reinstate your access to the document. Feel free to use the following reference:

"Hello, I noticed that I have limited access to this document and therefore would not be able to create new versions or make the necessary edits to it. Please grant me access by changing the status in the Access Tab from "Just Me" to "Everyone". "

Please note that outdated versions of a document will have a yellow highlight within the Files Tab and in order to access the most recent version, you would simply select the document dropdown within the Files Tab

Info Tab: When having full access to the document, you will be able make modifications to the name, description, tags, all done within the Info Tab. If these fields appear grayed out, kindly refer to the suggested language above to request the client to remove the "Read Only" limitations, granting you the necessary editing permissions.
